The Operations Professional is responsible for
coordinating and administering a variety of office activities at a regional and
local office level to ensure smooth operations.
This will include (but is not limited to) administrative support within
Human Resources, Sales and Marketing, and Office Operations.
Responsibilities
Responsible for the Engagement Life Cycle, which
includes new client & engagements set up thru closure.
Ensure all time has been entered and sent to
Directors, follow up when necessary.
Responsible for the communication with
professionals, regarding time, invoices, and expenses.
Audit, code for approval, and transmit
contractor invoices.
Support director in client billing research and
invoice reprints.
Maintain MSA's and SOW's.
Review, update changes, and submit Proforma's,
WIP, Special Billing Arrangements.
Coordinate review and approval of engagement
billable & unbillable expenses.
Document retention management.
Reviews and process vendor invoices for MD
approval and submission to the Corporate A/P Department.
Oversee Accounts Receivable Aging Management
& Invoice Collections
Receive all incoming telephone calls, take
messages, and respond to routine questions and requests.
Responsible for updating/maintaining telephone
list.
Maintain office equipment and supplies ensuring
fax and copy machine are working and has adequate supplies.
Send, receives and distributes mail, faxes, and
FedEx packages on a daily basis.
Bachelor's degree from an recognised university
required. A degree in Business
Administration preferred.
Minimum two to four years experience in an
office/administrative role.
Excellent planning and organizational skills to
establish courses of action to ensure that work is completed efficiently.
Ability to handle sensitive and confidential
material with a high level of professionalism and integrity.
Excellent time management skills with proven
attention to detail.
Adaptability to conflicting deadlines/priorities
essential.
Proficiency with Microsoft Word, Excel, Access
and PowerPoint.
Well-developed written, oral, and interpersonal
communication skills.
Proven customer service skills are required in
order to create, maintain and enhance customer relationships.
Must be able to communicate and interact
effectively with multi-functional and diverse backgrounds.
