Receptionist-Secretary

  • Answer telephone and direct phone calls and individuals to the appropriate area or personnel. 
  • Screen phone calls, taking messages, forwarding calls as needed to appropriate offices. 
  • Handle routine questions regarding Company.
  • Perform routine miscellaneous clerical tasks, such as opening and distributing mail, faxing information and typing. 
  • Manage weekly schedule calendar, as well as, manage scheduling of conference/guest offices.
  • Process all incoming and outgoing mail overnight mail/local courier requests. Greet and assist visitors.
  • Perform minor security duties, such as, screening visitors via video phone camera. 
  • Maintain professional appearance and demeanor at all times.
  • Research daily news sources to identify articles relevant to Occidental.
  • Other duties as assigned.
  • 1+ years of administrative experience.
  • Strong interpersonal skills and ability to communicate with all levels of management.
  • Computer skills: MS Office Suite and internet research.
  • Team player/ highly adaptable to work environment.
  • Exceptional organizational skills.
  • Must be punctual and flexible to overtime.
